Terms & Conditions

These Terms & Conditions (the “Terms”) form the contract between you (the participant/client) and Walk the Brecon Beacons, trading as Ingrid Lohr (the “Walk Organiser”, “Walk Leader”, and “Data Controller”). They apply to all guided walks and related services provided by Walk the Brecon Beacons.

You confirm that you have read and accepted these Terms when you submit the online Guided Walk Questionnaire / Medical & Risk Acknowledgement form. This will be sent to you 5-7 days before the walk. Each participant must complete their own form.

Please keep a copy of these Terms for your records.

1. The services

Guided walking will be provided as booked, typically in lowland and/or hill and moorland terrain in Wales and other areas of Great Britain. Walks are planned and led with safety as the priority. Specific objectives, routes, summits, timings, or distances cannot be guaranteed and may be changed at short notice for safety or operational reasons, including (but not limited to) weather conditions or access restrictions.

2. Participation, Responsibility and Risk

Walking in natural outdoor environments involves inherent risks, including (but not limited to) slips, trips, falls, weather-related hazards, and remoteness from immediate medical assistance. Not all risks can be eliminated.

You agree to follow the Walk Leader’s instructions and to behave in a way that does not put yourself or others at risk. If you act in contravention of safety instructions, you may be required to leave the activity and no refund will be due.

Completion of the risk acknowledgement is a condition of participation. Walkers who have not submitted these forms prior to the walk may be refused participation, with no refund due.

3. Fitness, experience, and suitability

By booking, you confirm that you have a level of fitness and ability appropriate to the walk you have chosen. Where relevant, you will be asked about walking experience and whether you feel uneasy on exposed or narrow paths so that the Walk Leader can plan appropriately.

The Walk Leader may refuse participation (or require a route change) if, in their reasonable judgement, conditions, fitness, equipment, behaviour, or other factors would make participation unsafe.

4. Clothing and equipment

You must bring suitable clothing and footwear for the activity and forecast conditions. A kit list and advice are available on request. You may be refused participation if you are inappropriately dressed or equipped. If you’re unsure whether your gear is suitable, please get in touch – requirements depend on the walk, the season and the weather forecast.

7. Health declaration and emergency contact

You must provide accurate and complete information in the Guided Walk Questionnaire, including relevant medical conditions, allergies (for example anaphylaxis), and medication that may affect participation or be relevant in an emergency. You must also provide an emergency contact. If anything changes before the walk, you must inform the Walk Leader as soon as possible.

Health information is used only for safety planning and emergency response and is treated confidentially.

8. Age restrictions

Participants under 18 must be accompanied by a parent or legal guardian. Walks are not specifically designed as family or child-focused activities; as a guideline, a minimum age of 14 is recommended unless otherwise agreed in writing.

9. Dogs

Well behaved dogs on a lead are welcome to join the walks.

15. Insurance and liability

Walk the Brecon Beacons holds public liability insurance. Details can be provided on request.

Nothing in these Terms limits or excludes liability for death or personal injury caused by negligence, fraud, or any other liability that cannot be limited or excluded under applicable law.

Subject to the above, and to the extent permitted by law, the Walk Organiser’s total liability to you in connection with the walk and/or these Terms is limited to the fees you have paid for the relevant walk.

Participants are responsible for their own personal accident and (where relevant) cancellation insurance. We recommend that you arrange appropriate cover for the activities you are undertaking and check that any existing insurance applies to guided walking.

16. Photos and video

Photos and/or video may be taken during the walk by the Walk Leader and/or other participants. Your preferences are recorded via the Guided Walk Questionnaire (for example: no consent; consent for sharing with participants; or consent for promotional use). If you do not consent, you understand that you may still appear incidentally in photos taken by others and you will make reasonable efforts to avoid being in shot.

19. Data protection

Personal data (including health information and emergency contact details) is collected and processed in accordance with UK GDPR and the Data Protection Act 2018. It is used only to organise the walk safely and to deal with emergencies if needed. Data is stored securely, not shared unless necessary (for example in an emergency or if required by law), and deleted when no longer required.

20. Medical Questionnaire & Participation Requirement

A few days prior to the walk each booking will receive a short online questionnaire covering health, medication and relevant medical conditions, along with a risk acknowledgement form. The person making the booking is responsible for forwarding the link to all participants included in their booking. Each participant must complete their own form. This information is used solely to help manage safety and provide appropriate support.

Completion of these forms by each participant is a condition of participation. Participants who have not submitted the forms in advance may be refused participation, with no refund due.

21. Governing law

These Terms are governed by the laws of England and Wales and the courts of England and Wales have exclusive jurisdiction.
